Job Requirements
- High school diploma or equivalent
- Proficiency with Microsoft operating systems
- Experience in hotel or related field preferred
- Ability to type 55 words per minute
- Must work well in stressful, high-pressure situations
- Must maintain composure and objectivity under pressure
- Must be effective at handling problems in the workplace
- Ability to assimilate complex information from multiple sources
- Effective communication skills
- Ability to evaluate and select among alternative actions quickly
- Familiarity with hotel PMS
- Ability to work weekends and holidays as business demands
- Must comply with company dress code and grooming standards
- Must maintain regular attendance
- Ability to assist in clerical and sales support duties
- Must be attentive and courteous to guests and associates.
Job Qualifications
- High school diploma or equivalent
- College coursework in related field preferred
- Experience in hotel or related field preferred
- Ability to type 55 words per minute
- Proficient with Microsoft operating systems and hotel property management systems
- Effective communication skills
- Ability to evaluate and select among alternative courses of action quickly and accurately
- Ability to work well under pressure and maintain composure
- Problem-solving skills including anticipating and resolving workplace issues
- Ability to assimilate and modify complex information
- Effective listening and understanding skills
- Ability to handle financial information and basic arithmetic functions
- Familiarity with sales software such as Delphi and SalesPro preferred.
Job Duties
- Approaches all encounters with guests and associates in an attentive, friendly, courteous, and service oriented manner
- Maintains regular attendance in compliance with company standards and scheduling
- Maintains high standards of personal appearance and grooming according to company dress code
- Complies with company standards and regulations to encourage safe and efficient hotel operations
- Maintains sales files in an organized fashion and as per specified standards
- Demonstrates awareness of established goals for each department and supports sales process goals
- Answers phones and qualifies incoming inquiry calls professionally and timely
- Types sales contracts, banquet event orders, correspondence, reports, and forms as needed by sales team
- Maintains lead logs and lead statistics for strategic outbound sales
- Maintains and ensures proper functioning of sales systems such as Delphi and SalesPro
- Assists managers with creative projects such as proposals, direct mail pieces, invitations, and special events
- Maintains timely communication and paperwork flow within and between departments
- Quotes prices for meeting inquiries and collaborates with sales leadership on small groups and meetings
- Coordinates distribution of banquet event orders, changes, rooming lists, contracts, and revisions to relevant departments
- Assists guests and clients with small changes and requests
- Conducts site inspections as needed
- Enters group pickup data and preferred production into sales systems
- Manages thank you letters for groups and functions
- Monitors and orders office supplies and sales collateral
- Contacts clients for guaranteed function numbers prior to events
- Organizes in-house deliveries, amenities, welcome letters, and transportation schedules
- Attends sales meetings, takes minutes, and distributes them accordingly
- Ensures associates maintain attentive and courteous behavior
- Performs other duties as assigned by Director of Sales specific to the property
- Familiar with all company sales policies and house rules.
