Job Requirements
- Must be a Colorado state resident
- Ability to work Monday through Friday, primarily 8:00 am to 5:00 pm
- Willingness to travel within Colorado for meetings, conferences, and training
- Ability to operate state vehicles as required
- Must have or be able to obtain a valid Colorado driver’s license
- Authorization to work in the United States
- Successfully complete background checks and employment screening
- Ability to handle sensitive information confidentially
- Availability for occasional overtime and flexible scheduling as needed
Job Qualifications
- High school diploma or equivalent
- Experience providing administrative or technical support in a governmental or corporate setting
- Strong communication skills both written and verbal
- Proficiency with SAP or similar enterprise resource planning software
- Ability to manage confidential information with discretion
- Competence in coordinating events and managing multiple priorities
- Experience working with public and governmental agencies
- Familiarity with Workers’ Compensation and Family Medical Leave Act (FMLA) processes
- Strong organizational skills and attention to detail
- Ability to work independently and as part of a team
Job Duties
- Perform technical and operational support for the Regional Transportation Director’s office, Business office, Regional Safety office, and Regional employees, as well as Administrative Assistant I duties
- Create and maintain procedures to coordinate, collect and monitor information, files and documents
- Assist in coordinating Region 2’s Annual Health Fair, Remembrance Day, and other regional events as needed, as well as assisting with the State Wellness Committee
- Create and maintain good public relations with various governmental agencies and the public
- Create, review, and maintain all important personnel file documents and required policies
- May be required to pick up paperwork for employee’s or managers at another CDOT office
- Act as Worker’s Comp/FMLA Liaison and Timekeeper
- Provide information and guidance to employees, supervisors, and Appointing Authorities in regards to all FML requests as appropriate
- Liaise with Appointing Authorities to ensure sharing of information to effectively manage FML while also maintaining confidentiality and protecting medical information
- Utilize SAP to track FML entitlement, sick and annual leave balances, and provide leave exhaustion information to appropriate Appointing Authority, Region EEO for ADA consideration referrals, and HR
- Responsible for tracking and providing guidance on completion of required paperwork, leave usage and time keeping
- Obtain and maintain both Pcard and Tcard for purchasing requested office materials and approved travel expenses
- Secure and control files, ensuring timely dissemination and purging of files
- Manage digital and physical files for retention guidelines
- Schedule file review appointments, maintain inventory, and verify employee expenses for accuracy
- Represent the Department and supervisors in person, by telephone and in correspondence with other governmental agencies, contractors, private industry, media and public
- Independently reply to inquiries regarding maintenance operations, policies and procedures, or citizen concerns
- Collect information from public and notify proper CDOT personnel of problems or hazards that may/could exist
- Serve as public liaison for all levels of personnel involved in the operation of the organizational unit
- Establish and maintain effective and cooperative working relationships with all levels of personnel involved in the operations of the organizational unit, the public and the other agencies and organizations
- Assist the various Program Administrators, set up committee meetings, and prepare meeting rooms, if needed
- Work directly with the Regional White Fleet Coordinators as a backup on all aspects of the fleet program
- Perform other duties as assigned
