Job Requirements

  • High school diploma or equivalent
  • Previous experience in an administrative or front desk role preferred
  • Ability to communicate clearly and politely
  • Proficiency with basic computer software including Microsoft Office and Google Workspace
  • Strong organizational skills
  • Ability to multitask effectively
  • Physical ability to walk between buildings and lift up to 35 pounds
  • U.S. citizenship, green card holder, or valid asylum/refugee status due to export control regulations

Job Qualifications

  • Previous experience in an administrative, front desk, or customer service role preferred
  • Reliable, punctual, proactive-demonstrates initiative without needing constant direction
  • Strong communication, organizational, and multitasking skills
  • Friendly, professional demeanor with exceptional attention to detail
  • Basic computer proficiency (Microsoft Office, Google Workspace, etc.)
  • Must be able to walk between buildings, and lift and carry up to 35 pounds

Job Duties

  • Greet and assist visitors, clients, and employees with professionalism and a friendly, welcoming demeanor
  • Manage all incoming and outgoing mail, packages, and deliveries
  • Maintain an organized and clean front desk, lobby area and conference rooms at all times
  • Manage temporary security badges and key cards, ensuring proper sign-in/out procedures and timely returns
  • Provide general administrative support to office leadership and teams, including routine tasks and ad hoc project assistance
  • Order and set up meals for business meetings
  • Regularly stock and maintain break rooms, kitchen supplies, and coffee stations
  • Load, run, and unload the dishwasher as needed
  • Reset and tidy conference rooms before and after meetings
  • Monitor office and cleaning supply inventory
  • reorder items or notify management when restocking is needed
  • Proactively identify and address areas needing attention, including restocking, light cleaning, and organizing shared spaces
  • Support weekly onsite events and team activities with setup, coordination, and cleanup
  • Assist with planning company events
  • Assist with recurring and one-off office projects, facility needs, and operational tasks as they arise
