Job Requirements

  • High school diploma or equivalent
  • minimum of 3-5 years of experience in a medical office setting
  • strong understanding of medical office procedures scheduling systems and insurance processes
  • excellent communication and interpersonal skills
  • strong organizational skills
  • ability to handle multiple tasks effectively
  • proficiency in medical office software and electronic health record systems

Job Duties

  • Greet and check in patients in a friendly and professional manner
  • manage patient appointment scheduling including rescheduling and cancellations
  • answer incoming phone calls respond to inquiries and direct calls as needed
  • collect and verify patient information including insurance details and demographics
  • maintain patient records in the practice management system ensuring accuracy and confidentiality
  • process patient payments handle billing inquiries and provide receipts for transactions
  • coordinate communication between the front office clinical staff and physicians
  • monitor and maintain the cleanliness and organization of the front office area
  • assist patients with completing required forms and paperwork
  • manage office supplies ensuring availability for front office operations
  • handle patient concerns or complaints with empathy and escalate issues when necessary
  • support the administrative needs of the practice including data entry filing and correspondence
  • adhere to HIPAA regulations and company policies regarding patient information and confidentiality
