Job Requirements

Job Duties

  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone
  • answering or referring inquiries
  • initial contact must include
  • create a truly friendly atmosphere and provide a great experience
  • greet patients within 8 to 10 seconds of walking through our doors
  • standing up to greet the patient by name whenever possible or shaking the patients' hand
  • check-in the patient in our system and keep track of the patients who are in our office at all times
  • take advantage of our "Make a customer's day" tool and go above and beyond to make sure we show our patients how much we care about them
  • optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
  • keeps patient appointments on schedule by notifying provider of patient's arrival
  • reviewing service delivery compared to schedule
  • reminding provider of service delays
  • comforts patients by anticipating patients' anxieties
  • answering patients' questions
  • maintaining the reception
  • ensures availability of treatment information by filing and retrieving patient records
  • maintains patient accounts by obtaining, recording, and updating personal and financial information
  • obtains revenue by recording and updating financial information
  • recording and collecting patient charges
  • controlling credit extended to patients
  • filing, collecting, and expediting third-party claims
  • protects patients' rights by maintaining confidentiality of personal and financial information, HIPPA compliancy
  • maintains operations by following policies and procedures
  • reporting needed changes
  • e-fax management and delivery to appropriate employees
  • received outside post ops- filed A-Z in appropriate binder
  • received outside H&P, EKG, etc- filed A-Z in appropriate binder
  • received non-urgent review- letters from MDS -filed A-Z in appropriate binder
  • chart preparation
  • create chart
  • manage pre-appointment chart notes
  • collect chart notes from referring doctors prior to patient appointment
  • prepping ahead of time for the following days of clinic
  • ensuring we have referral notes for new patients
  • making sure the correct clinic workup sheet is in the chart
  • manage outbound referrals
  • in management plus and or versa suite (DLV referred to)- document appropriately
  • manage medical records
  • purge and store files within 2 years
  • keep records tidy and alphabetized
  • manage records release forms and handle within 24 hours
  • obtain Dr. Dougherty signature on all medical release forms
  • mail patient medical records as needed
  • create, manage, and maintain medical records release log
  • verifying insurance and making sure to collect any copays, deductibles or other charges pertaining to the patients visit and ensuring the payment is properly posted on the patients account
  • keeping the front desk/reception area clean and stocked at all times
  • ensuring all superbills are properly filled out and all accounted for and sent to the billing department at the end of the day
