Job Requirements
- High school diploma or equivalent
- three or more years of receptionist or administrative experience
- proficiency in Microsoft Office Suite including Word, Excel, and Outlook
- strong communication skills
- professional appearance and demeanor
- ability to multitask and stay organized
- ability to maintain confidentiality
Job Qualifications
- High school diploma or equivalent
- associate degree or office administration coursework preferred
- 3+ years receptionist or administrative experience, preferably in the construction or related industries
- proficient in Microsoft Office Suite including Word, Excel, Outlook
- strong verbal and written communication skills
- professional appearance and demeanor
- ability to multitask and stay organized
- ability to maintain confidentiality
Job Duties
- Greet and assist visitors, clients, vendors, and employees in a courteous and professional manner
- answer, screen, and route incoming calls to the appropriate departments or personnel
- maintain a clean and organized reception area
- receive and distribute mail, packages, and deliveries
- maintain visitor log
- schedule appointments and coordinate meeting room usage
- assist with filing, copying, scanning, and other clerical tasks as needed
- job setup and job number assignment in ECMS
- maintain and update job lists
- vendor setup and maintenance in ECMS
- conduct TIN matching for vendors on IRS website
- monitor subcontractor payment applications, releases, release logs, and email
- maintain subcontractor checks and checklist held for release
- provide general information to callers and walk-in guests about the company and ongoing projects
- coordinate with project teams, accounting, HR, and management to relay messages or route documents
