Job Requirements

  • High school diploma or equivalent
  • three or more years of receptionist or administrative experience
  • proficiency in Microsoft Office Suite including Word, Excel, and Outlook
  • strong communication skills
  • professional appearance and demeanor
  • ability to multitask and stay organized
  • ability to maintain confidentiality

Job Qualifications

  • High school diploma or equivalent
  • associate degree or office administration coursework preferred
  • 3+ years receptionist or administrative experience, preferably in the construction or related industries
  • proficient in Microsoft Office Suite including Word, Excel, Outlook
  • strong verbal and written communication skills
  • professional appearance and demeanor
  • ability to multitask and stay organized
  • ability to maintain confidentiality

Job Duties

  • Greet and assist visitors, clients, vendors, and employees in a courteous and professional manner
  • answer, screen, and route incoming calls to the appropriate departments or personnel
  • maintain a clean and organized reception area
  • receive and distribute mail, packages, and deliveries
  • maintain visitor log
  • schedule appointments and coordinate meeting room usage
  • assist with filing, copying, scanning, and other clerical tasks as needed
  • job setup and job number assignment in ECMS
  • maintain and update job lists
  • vendor setup and maintenance in ECMS
  • conduct TIN matching for vendors on IRS website
  • monitor subcontractor payment applications, releases, release logs, and email
  • maintain subcontractor checks and checklist held for release
  • provide general information to callers and walk-in guests about the company and ongoing projects
  • coordinate with project teams, accounting, HR, and management to relay messages or route documents
