Job Requirements

  • Bachelor's degree and one year of relevant professional experience

  • proficiency with budget management and fiscal compliance
  • experience supervising staff or student assistants
  • capability to analyze and improve processes
  • familiarity with university administrative operations preferred

Job Duties

  • Maintain working knowledge of ongoing programs and projects to triage inquiries appropriately
  • determine appropriate and efficient travel procedures for directors, faculty, staff and students
  • identify and reserve cost-effective travel and accommodations
  • assist with post-travel reimbursement ensuring compliance with state and university policies
  • manage front office operations including greeting visitors, managing office supplies, mail and packages distribution
  • supervise, mentor and manage student assistants
  • assist research groups with administration, purchasing, meeting support and logistics
  • analyze existing procedures and implement improvements
  • develop administrative goals and objectives
  • serve as point of contact for all RASEI events from small meetings to large conferences
  • manage event scheduling, registration, communication, catering and logistics
  • prepare and maintain timelines and budgets for each event
  • manage expenses within budget and comply with fiscal rules
  • develop reports to monitor fiscal management of meetings
  • manage accommodations and coordinate transportation and lodging for presenters and participants
  • coordinate room setup and breakdown, materials, badges and signage
  • coordinate marketing and advertising for seminars
  • serve as alternate proctor for RASEI spaces
  • act as vendor liaison for maintenance contracts
  • serve as telecommunication and parking liaison
  • support special projects as assigned
