Job Requirements

  • High school diploma or equivalent
  • Ability to sit, stand, and perform clerical tasks throughout the workday
  • Willingness to assist in caregiver duties on a PRN basis when needed
  • Must be willing to run errands as needed
  • Must have a valid driver's license and active car insurance

Job Qualifications

  • High school diploma or equivalent
  • Additional education in healthcare administration preferred
  • Previous experience in a medical office, healthcare agency, or administrative role preferred
  • Knowledge of healthcare benefits, referrals, and medical office procedures is a plus
  • Strong communication and customer service skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask, prioritize, and work independently
  • Proficient in Microsoft Office and office management systems
  • Ability to maintain confidentiality and comply with HIPAA regulations
  • Reliable, punctual, and professional demeanor

Job Duties

  • Answer and properly route all incoming calls for the agency in a professional and courteous manner
  • Greet, check in, and screen all visitors and staff, including completing COVID-19 risk assessments and temperature checks as required
  • Direct visitors, staff, and vendors to the appropriate office or department
  • Take accurate messages and ensure timely delivery to the appropriate staff member
  • Maintain and organize client records and administrative files in compliance with agency and HIPAA standards
  • Sort, distribute, and process incoming and outgoing mail
  • Assist with filing, scanning, copying, and other clerical duties as needed
  • Run and manage doctor's orders, ensuring timely processing and proper documentation
  • Handle incoming and outgoing referral calls and coordinate with appropriate departments
  • Create agendas and assist with preparation for team meetings
  • Manage, track, and order office supplies to ensure adequate inventory
  • Assist with payroll support, including time verification and administrative coordination
  • Provide basic knowledge and assistance regarding healthcare benefits when applicable
  • Serve as a PRN Caregiver when needed, following agency policies and care standards
  • Maintain front desk cleanliness and ensure a welcoming, professional office environment
  • Communicate effectively with clients, caregivers, clinical staff, and management
  • Support additional administrative and operational tasks as assigned
