Job Requirements

  • Proven experience in medical reception, front desk coordination, office management, and medical billing
  • Strong knowledge of medical terminology

  • Ability to multitask and prioritize in a fast-paced environment
  • Knowledge of HIPAA regulations

Job Qualifications

  • High school diploma or equivalent
  • Associate or bachelor's degree preferred
  • Proven experience in medical reception, front desk coordination, office management, and medical billing
  • Strong knowledge of medical terminology, insurance billing procedures, and electronic health records (EHR) systems
  • Proficient in computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and billing software
  • Excellent communication, interpersonal, and customer service skills
  • Detail-oriented with strong organizational and multitasking abilities
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
  • Knowledge of HIPAA regulations and patient privacy laws
  • Experience in supervising or training staff members is a plus
  • Flexibility to work occasional evenings or weekends as needed

Job Duties

  • Welcome patients and visitors with a friendly and professional demeanor
  • Check-in patients, verify insurance information, and update patient records accurately
  • Schedule appointments and manage appointment calendars for healthcare providers
  • Answer phone calls, respond to inquiries, and direct calls to the appropriate personnel
  • Coordinate patient referrals and medical records requests as needed
  • Maintain a clean and organized front desk area and waiting room for a positive patient experience
  • Oversee day-to-day office operations and ensure smooth workflow
  • Manage office supplies, equipment maintenance, and vendor relationships
  • Train and supervise administrative staff members to ensure efficient front desk operations
  • Coordinate staff schedules and manage time-off requests
  • Assist with administrative tasks such as filing, data entry, and correspondence
  • Process patient billing statements, claims, and payments accurately and efficiently
  • Verify insurance coverage, submit claims, and follow up on outstanding accounts receivable
  • Address billing inquiries from patients, insurance companies, and third-party payers
  • Monitor billing reports, identify billing errors, and reconcile discrepancies
  • Ensure compliance with billing regulations, including HIPAA and insurance guidelines
  • Handle patient inquiries, concerns, and complaints professionally and promptly
  • Maintain patient confidentiality and privacy in accordance with HIPAA regulations
  • Communicate effectively with healthcare providers, staff members, and external stakeholders
  • Prepare and maintain reports related to front desk activities, office management, and billing
  • Update and maintain electronic health records (EHR) and patient databases accurately
  • Assist with documenting office policies, procedures, and training materials
