Job Qualifications

  • High school diploma or equivalent
  • at least two years of relevant work experience in an office environment
  • proven customer service skills with ability to communicate effectively with limited English speakers
  • proficient in Microsoft Office applications including Word, Excel and Outlook
  • strong keyboarding skills
  • capable internet usage skills
  • demonstrated organizational experience with ability to juggle multiple tasks, set priorities, manage time effectively and meet deadlines accurately
  • ability to handle multiple tasks simultaneously in a dynamic environment
  • effective communication skills and ability to work collaboratively with partners, community and clients in a cross-cultural, multi-disciplinary environment

Job Duties

  • Manage front door entry system and lobby in a professional way
  • greet and process visitors with appointments and manage visitors without appointments
  • respond to all client inquiries in a polite, professional, and timely manner
  • ensure new staff and interns have access to ID cards and office key fobs/cards
  • answer and direct incoming telephone calls, take messages and answer basic questions or direct them to appropriate programs
  • oversee administrative volunteers and provide training, supervision, and support
  • regularly update front office memos and announcements board
  • assist with safety and security measures as required
  • maintain the reception area and lobby in a sanitized, neat, and professional manner
  • oversee operations in both reception offices and meeting rooms, including receiving and distributing mail and restocking office supplies
  • liaise with office and equipment maintenance providers and other external parties as needed to support office operations
  • assist operations team with maintaining and processing office supply requests
  • carry out administrative tasks including scheduling appointments, filing, faxing, receiving and distributing mail
  • monitor general office and volunteer email inboxes, direct emails to appropriate staff and respond to general inquiries
  • coordinate with donors and advise on donation needs and requirements
  • comply with all IRC policies, procedures, and protocols including the IRC Way and Child Safeguarding Policy
  • other duties as assigned
