Job Requirements
- minimum of 2 years experience in a medical office or medical spa setting
- knowledge of medical terminology, cosmetic procedures, and skincare products preferred
- ability to manage phone systems and appointment scheduling accurately
- strong communication and organizational skills
- proficiency in computer use and typing
- ability to maintain confidentiality and follow HIPAA guidelines
- availability to work Monday through Friday from 8am to 5pm
Job Qualifications
- knowledge of medical terminology, cosmetic procedures, and skincare products is a plus
- minimum of 2 years of experience in a medical office or medical spa setting
- experience managing phone systems and scheduling in a medical office environment
- excellent communication, organizational, and multitasking abilities
- proficiency in computer systems and typing skills
Job Duties
- open the office and prepare a clean, safe environment for patients
- maintain office cleanliness throughout the day including restocking supplies and tidying common areas
- manage patient appointments by checking patients in on time and enforcing scheduling policies
- facilitate effective communication between patients and clinical staff regarding appointments and patient status
- collect patient demographic, insurance information, and co-pays in accordance with protocols
- maintain accurate patient records, document communications, cancellations, and no-shows
- assist with insurance verification, eligibility reports, and referral requirements
- provide patient education on cosmetic services, products, and health guidance
- support administrative tasks as assigned by the Front Office Manager
- manage patient check-out and schedule follow-up appointments
- cross-train in cosmetic services to assist with patient check-out
- conduct confirmation calls for unconfirmed appointments
- monitor lobby status to ensure timely patient flow
