Job Requirements
- Proven experience in office management or administrative roles with clerical experience preferred
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Bilingual abilities are highly desirable to serve diverse client needs
- Exceptional phone etiquette and customer service skills to create a welcoming environment
- Familiarity with multi-line phone systems and data entry procedures
- Experience in medical or dental receptionist roles is a plus but not required
- Personal assistant experience or calendar management skills are advantageous
- Ability to handle confidential information discreetly and maintain professionalism at all times

Job Duties
- Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle incoming correspondence, including emails, mail, and deliveries with precision and promptness
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date
- Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
- Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer support by addressing inquiries promptly and professionally in person or over the phone
