Job Requirements

  • Applicants must be at least 18 years of age
  • bilingual
  • high school diploma or equivalent
  • 2+ years of relevant experience
  • prior experience in accounts payable and payroll
  • proficiency with payroll software
  • strong organizational skills
  • excellent communication skills
  • ability to multitask in a fast-paced environment
  • discretion in handling confidential information

Job Qualifications

  • High school diploma or equivalent
  • 2+ years of experience in a front desk or receptionist role, preferably in an office or corporate environment
  • prior experience in accounts payable and payroll processing
  • strong knowledge of payroll software such as Sage and Procore
  • proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • excellent organizational skills and attention to detail
  • strong communication and interpersonal skills
  • bilingual preferred
  • knowledge of basic accounting principles and payroll tax laws is a plus
  • associate's or bachelor's degree in accounting or related field is a plus

Job Duties

  • Greet visitors, clients, and employees in a professional and friendly manner
  • answer phone calls, emails, and direct inquiries to the appropriate departments or individuals
  • manage office supplies and ensure the front desk area is organized and welcoming
  • handle scheduling and coordination for meetings, appointments, and conference room bookings
  • maintain a positive and professional image of the company at all times
  • process and review vendor invoices and ensure accuracy
  • handle payment processing for accounts payable, including checks, ACH, or electronic payments
  • reconcile accounts and resolve discrepancies with vendors in a timely manner
  • maintain records of accounts payable transactions in the accounting system
  • assist in preparing financial reports related to accounts payable
  • process employee payroll on a timely basis weekly
  • verify employee timecards and attendance data, ensuring accuracy before payroll submission
  • prepare payroll reports and submit them to HR or accounting for further processing
  • respond to employee payroll inquiries and resolve any discrepancies or concerns
  • ensure compliance with tax laws and company policies regarding payroll
