Job Requirements
- High school diploma or equivalent
- Previous experience in office administration or receptionist roles
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience handling multi-line phone systems
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to work in a fast-paced, in-person environment
Job Qualifications
- Previous office experience or clerical background demonstrating strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with office management software such as QuickBooks or similar bookkeeping tools is a plus
- Strong typing skills along with excellent attention to detail for proofreading and data entry tasks
- Demonstrated ability to multitask efficiently while managing time effectively in a fast-paced environment
Job Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings for staff or professionals
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks including inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties such as copying, scanning, faxing, and managing correspondence
- Provide excellent customer support by addressing inquiries via phone or email with professionalism and clarity
