Job Requirements

  • high school diploma or equivalent
  • prior experience in a receptionist or office administration role
  • proficiency with Microsoft Office Suite and Google Workspace
  • excellent communication and interpersonal skills
  • ability to manage multiple tasks and maintain professionalism under pressure
  • attention to detail and strong organizational skills
  • ability to work full-time hours, typically 35-38 hours per week
  • willingness to work in person at Palm Bay, FL 32905

Job Qualifications

  • proven experience in office administration or receptionist roles with strong clerical skills
  • excellent customer service skills with a friendly demeanor and professional phone etiquette
  • proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
  • ability to operate multi-line phone systems efficiently and handle high-volume calls confidently
  • bilingual abilities are highly desirable to serve diverse client needs effectively
  • strong organizational skills with keen attention to detail for proofreading and filing tasks
  • experience in medical or dental receptionist roles is a plus but not required
  • relevant personal assistant experience is also valued
  • demonstrated time management skills to prioritize tasks effectively in a fast-paced environment

Job Duties

  • greet visitors and clients warmly, ensuring a positive first impression for everyone entering the facility
  • manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with professionalism and courtesy
  • handle incoming and outgoing correspondence, including emails, mailings, and deliveries
  • maintain front desk area by organizing materials, filing documents, and ensuring a tidy workspace
  • utilize computer skills to perform data entry, update records in software such as Microsoft Office and Google Workspace, and assist with basic bookkeeping using QuickBooks or similar tools
  • schedule appointments, manage calendars, and coordinate meetings for staff or medical/dental office settings
  • support office management tasks such as proofreading documents, managing office supplies inventory, and assisting with clerical duties like copying or faxing
