Job Requirements

  • High school diploma
  • One year experience in administrative duties or related capacity for a nonprofit organization
  • Reliable transportation
  • Valid California driver’s license
  • Satisfactory driving record
  • Proof of personal vehicle insurance
  • Ability to work evenings and weekends
  • Ability to lift and carry objects up to 30 pounds
  • Ability to sit for prolonged periods
  • Ability to work under pressure with tight deadlines
  • Strong organizational skills
  • Proficiency in relevant software
  • Excellent customer service skills

Job Qualifications

  • High school diploma or equivalent
  • One year experience in administrative duties or similar role, preferably in a nonprofit organization
  • Strong proficiency in Windows, Excel, Microsoft Word, Publisher, social media, and contact management programs
  • Excellent customer service skills
  • Excellent verbal, written, interpersonal, and organizational skills
  • Ability to work independently and collaboratively
  • Bilingual skills preferred
  • Experience in military service programs and management highly desirable
  • Strong organizational, time management, and multitasking abilities
  • Professional demeanor with analytical thinking and problem-solving skills

Job Duties

  • Greet families, visitors, and guests in person with a professional and friendly demeanor
  • Serve as a reliable source of information for families who walk in or call the office
  • Direct inquiries to the appropriate staff or departments as needed
  • Maintain and send birthday and anniversary announcements via email and Kudoboard
  • Ensure announcements are accurate, timely, and consistent with organizational standards
  • Receive and sort all incoming mail
  • Manage incoming donations, including logging, securing, and forwarding them according to organizational procedures
  • Communicate donation information to relevant staff when necessary
  • Answer and route incoming phone calls in a courteous and efficient manner
  • Monitor and respond to emails sent to [email protected], ensuring timely follow-up or proper routing
  • Check and manage voicemail messages daily, forwarding or responding as appropriate
  • Maintain all common areas
  • Support general office operations and assist administrative staff as needed
