Job Qualifications
- High school diploma required
- Reliable transportation and a valid driver’s license
- 3-5 years of experience as an administrative assistant with client facing experience
- Excellent communication and interpersonal skills including verbal and written communication
- Proficient computer skills with Excel, Word, PowerPoint, and Outlook
- Ability to exercise good judgment in a variety of situations
- Strong administrative and organizational skills
- Ability to maintain a realistic balance among multiple priorities
- Ability to work independently on projects from conception to completion
- Capability to work under pressure while handling a wide variety of activities and confidential matters with discretion
- Positive, friendly, and professional attitude
- Ability to interact with employees throughout the organization
- Ability to solve practical problems by analyzing information
Job Duties
- Greet and direct visitors to office areas and conference rooms
- Politely answer, screen, and direct phone calls
- Scan and distribute mail correspondence to appropriate parties
- Schedule meetings and appointments
- Order office supplies and maintain inventory of supply room
- Maintain an orderly, clean, and stocked kitchen and break room
- Order lunch for events as needed
- Make travel arrangements and create detailed travel itineraries for international and domestic travel
- Maintain office filing system
- Act as the point of contact between executives and internal/external clients
- Organize and plan calendaring of conference rooms
- Organize and coordinate regional employee training and company events such as picnics and holiday parties
- Maintain RSVPs and booking appointments for company events
- Occasionally run errands for supplies or dropping off mail
- Complete and submit expense reports for regional staff
- Prepare and compose confidential correspondence
- Assist Human Resources, Payroll, IT, and Estimating departments with administrative duties as needed
