  • Proficiency with telephone systems and reception ticketing software
  • Ability to multitask and manage time efficiently
  • Detail-oriented with strong organizational skills

Job Duties

  • Manage all telephone and walk-in inquiries
  • Ensure all visitors and staff are properly identified and accurately routed to the correct contact or location
  • Ensure proper badging is issued and recovered from guests or employees as required
  • Maintain a neat and welcoming environment in the reception area
  • Monitor reception ticketing software and assign tickets promptly
  • Schedule conference room reservations
  • Manage conference room scheduling and facilitate catering requests
  • Maintain inventory relevant to the reception area
  • Maintain and update staff directory
  • Manage incoming Facilities Helpdesk tickets
  • Support the client in assisting with the coordination of building moves, electrical needs, copier repairs, signage, conference room setup, etc.
  • Researching and recommending services like restaurants and hotels
  • Provide general administrative and clerical support
  • Other tasks may be assigned
