Job Requirements

  • 2+ years related experience, or a combination of equivalent experience, training, and education
  • 1+ years of experience in a professional office environment
  • proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
  • excellent oral, written, and interpersonal communication skills
  • ability to exercise considerable discretion and independent judgment and maintain confidential information
  • strong relationship building skills
  • ability to interact with executives and employees at all levels within the organization
  • must be able to work independently, be a self-starter, and possess excellent organizational skills in a fast-paced environment
  • demonstrated initiative-taking and solution-oriented approaches to problem solving with a strong decision-making capability
  • this is an on-site role and cannot be done remotely

Job Qualifications

Job Duties

  • Provides a professional and warm welcome to all team members and visitors
  • ensures phones are answered promptly, properly, and efficiently
  • manage messages
  • direct calls and visitors
  • manage email correspondence and inquiries
  • maintains continuous presence (or is available) at the Front Desk during business hours
  • serves as a primary point of administrative contact for internal and external inquiries
  • conducts caller and visitor management
  • handles visitor management tasks including check-in, badging, and arrival support
  • answers, screens, and directs phone calls to staff
  • takes messages and schedules appointments
  • receives mail, documents, packages, and courier deliveries and delivers or distributes items
  • performs administrative services and clerical support including filing, mailing, paying bills, running errands, managing office supply inventory, and completing project-based assigned work
  • tracks and maintains office expenses, vendor relations, office supplies, and food/snack requirements
  • may handle confidential information
  • other duties as assigned
