Job Requirements

  • High school diploma or GED
  • 2+ years of customer service or front desk experience, preferably in a law firm
  • excellent interpersonal and communication skills
  • intermediate computer skills including Microsoft Office Suite
  • strong organizational skills and attention to detail
  • professional demeanor and appearance
  • a strong passion to help others and achieve best outcomes

Job Qualifications

  • willingness to obtain NC Notary Public certification within six months
  • familiarity with legal language and processes preferred
  • bilingual in Spanish and English a plus

Job Duties

  • Greet clients and visitors with professionalism and compassion
  • operate a multi-line phone system by answering calls, assisting callers, relaying accurate messages, and connecting to appropriate contacts
  • assist with scheduling and confirming appointments
  • promptly direct outgoing and incoming mail, faxes, and deliveries to intended recipients
  • maintain tidy and welcoming public spaces such as lobby, meeting rooms, bathrooms, and break areas
  • prepare meeting rooms, documents, and arrange refreshments as needed
  • support administrative needs such as copying, scanning, faxing, emailing, and note taking
  • meet with clients for notary services
  • coordinate with staff as needed for client check execution and releases
  • maintain effective communication with clients, attorneys, and legal staff
  • provide assistance and guidance ensuring clarity and comfort for all visitors
  • support the execution of daily operations with urgency and attention to detail
