Job Requirements
- High school diploma or equivalent
- Previous experience in a receptionist or clerical role preferred
- Strong communication skills
- Basic computer proficiency
- Ability to handle confidential information
- Strong organizational skills
- Ability to multitask and work under pressure
- Professional and courteous manner
Job Qualifications
- Ability to read, write and follow written and oral directions in English
- Ability to type at least 40 wpm with accuracy
- Ability to perform simple math problems
- Ability to handle multiple tasks simultaneously with interruptions and distractions
- Ability to answer the phone and handle heavy phone contact in a pleasant and efficient manner
- Ability to take accurate messages and deliver them to appropriate staff
- Ability to discern and maintain confidential information
- Demonstrated cooperation in assisting others and ability to work as a team
- Patience, tact, enthusiasm and a positive attitude toward staff, residents and their support networks
Job Duties
- Answer the phone and handle heavy phone contact including resident transportation scheduling and coordination
- Develop and maintain cooperative rapport with all facility personnel
- Greet and assist residents, visitors, vendors, and job applicants professionally and courteously
- Process mail, answer telephones, record messages accurately and respond to inquiries courteously
- Type and proofread reports, letters, and correspondence for staff as needed
- Maintain databases and lists of resident personal information such as phone numbers and process mailings as needed
- Prepare admission packets and ensure distribution to appropriate departments
- Assist other facility staff with duties and set and follow priorities to meet deadlines
- Ensure office equipment including printers are maintained clean and safe and that supplies are readily available and working
- Program telephone system if necessary
- send, receive and distribute faxes
- ensure postage machine is functioning and stocked
- Order and track office supply needs, dealing with appropriate vendors
