Job Requirements

  • Graduation from high school
  • two to three years of related clerical experience or equivalent education and experience
  • excellent written and verbal communication skills
  • interpersonal skills
  • ability to exercise good judgment and discretion with confidential information
  • organizational skills
  • ability to work independently
  • proficiency in Microsoft Word and Excel

Job Qualifications

  • Graduation from high school and two to three years of related clerical experience or equivalent combination of education and experience
  • excellent written and verbal communication and interpersonal skills
  • demonstrated ability to exercise good judgment handling sensitive and confidential issues
  • demonstrated organizational skills and ability to work independently
  • skilled in Microsoft Word and Excel
  • familiarity with EPIC/APeX preferred
  • knowledge of PT/OT speech business preferred
  • knowledge of medical terminology preferred

Job Duties

  • Schedule and coordinate new and return outpatient rehabilitation appointments
  • pre-register patients and verify demographic and insurance information
  • screen referrals and route authorization needs
  • manage patient arrivals, cancellations, and rescheduling
  • maintain accurate practitioner schedules
  • maintain payer and insurance information in patient records
  • identify payer or authorization issues
  • initiate prior authorization requests
  • enter authorization and billing information
  • collect patient payments and maintain cash records
  • greet patients, visitors, and callers
  • provide appointment instructions and clinic information
  • route calls and messages
  • communicate patient questions or concerns to staff
  • use phone, email, fax, and UCSF systems professionally
  • initiate and maintain patient records and files
  • prepare new patient charts with documentation
  • perform clerical and administrative tasks
  • work collaboratively with rehab administrative staff
  • assist with front office or billing coverage
  • monitor office supplies and submit requests
  • follow UCSF policies on confidentiality and professionalism
  • comply with infection control and safety requirements
  • demonstrate respectful and professional behavior
  • perform other duties as assigned
