Job Requirements
- High school graduate or GED
- two years' experience on PBX or multi-line telephone systems
- preferred front office experience with customer interaction
- ability to handle heavy phone usage, calculators, intercoms, two-way radios, fax and copier machines
- ability to make accurate change
- ability to communicate verbally and in writing
- ability to sit for extended periods and get up frequently to direct others
- ability to multi-task in a fast-paced environment with high demands
- ability to maintain pleasant, caring, and compassionate demeanor
- ability to read, write, and speak English
- ability to perform essential duties
- genuine interest in caring for mature adults, persons with disabilities, and hospice patients
- ability to comply with Resident Bill of Rights and Employee Responsibilities
- ability to comply with safety policies and procedures
- able to work in a primarily climate-controlled indoor building
- able to work self-paced with ability to work quickly and accurately
Job Qualifications
- High school graduate or GED
- minimum two years experience operating PBX or multi-line telephone systems
- preferred front office experience working with customers
- strong verbal and written communication skills
- ability to multitask effectively in a fast-paced environment
- demonstrated problem-solving and analytical abilities
- ability to maintain a pleasant, caring, and compassionate demeanor in stressful situations
- capacity to inspire and motivate others
- knowledge of quality management principles
- willing to accept feedback and be a team player
Job Duties
- Model a service attitude towards others
- take ownership in solving problems and take initiative to make things better
- be friendly and courteous to residents, patients, and co-workers
- answer phones within three rings, take messages, and direct calls appropriately
- greet and direct visitors including family members, vendors, prospective residents, and volunteers
- assist residents with various needs such as making change, selling stamps, mailing, scheduling appointments
- collect resident fees and write receipts
- prepare outgoing mail including first class, return receipt, UPS
- receive and distribute resident and facility mail
- forward appropriate mail such as for deceased residents or those who have moved
- perform routine clerical duties as assigned by the Office Manager or Resident Concierge
- schedule guest cottages and collect fees
- schedule residents appointments in accordance with established schedules
- report unusual situations to the Office Manager or Resident Concierge
- maintain front office fax and copier machines and ensure supplies are stocked
- distribute faxes to the appropriate person in a timely manner
- perform other duties as assigned by the Office Manager or Resident Concierge
