Job Requirements
- High school diploma
- Four years of experience in an administrative role
- Customer service experience
- Experience working in a fast-paced professional environment
- Ability to maintain strict confidentiality
- Proficiency with Microsoft Office Suite
- Proficiency with Google Suite
- Familiarity with Canva and Adobe Creative is a plus

Job Duties
- Serve as the first point of contact for the office, welcoming visitors and triaging phone calls and emails
- Assist in troubleshooting office equipment, maintaining office supplies, and keeping electronic files
- Coordinate office merchandise orders and life cycle acknowledgements
- Serve on building-wide committees such as Kitchenette, Office Supply, Green Team, and Building Immediate Response Team
- Promote communication with Ruthven facilities team and support upkeep of office suite, kitchenette, appliances, and shared conference rooms
- Maintain directories, email groups, and department contact lists
- Assist in organization and coordination of office and department meetings including reserving conference rooms, ordering catering, and facilitating room set-up and breakdown
- Maintain forms of payment, file receipts and reconcile charges
- Provide additional support for special meetings, executive searches, and university events
- Manage multiple projects such as Provost Office Faculty Suite guest lists and materials
- Manage Provost's season tickets for university events
- Coordinate annual organizational chart updates across schools and colleges
- Oversee annual review of executive committee appointments
- Facilitate meeting transitions to ensure the Provost's daily schedule runs smoothly
- Prepare physical and electronic meeting materials including event briefings and travel itineraries
- Help manage filing system and university archives
- Assist with special projects including executive searches, surveys, and scheduling
- Create documents and keep history of project processes
- Perform other administrative duties as assigned
