Job Requirements
- High school diploma or equivalent
- Minimum of 2 years of relevant administrative or office coordination experience
- Strong customer service skills
- Excellent organizational skills
- Good verbal and written communication
- Ability to handle multiple priorities
- High discretion and confidentiality
- Self-motivated with problem-solving skills
- Proficient in Microsoft Office and Adobe
- Ability to lift 30 pounds
Job Qualifications

Job Duties
- Serve as the primary point of contact for visitors, clients, and vendors
- Manage incoming calls, messages, and inquiries efficiently
- Support daily office operations and maintenance
- Draft and distribute office communications
- Maintain visitor logs, issue badges, and submit work orders
- Update the Front Desk Coordinator manual quarterly
- Serve as backup liaison with Property Management
- Oversee disaster and emergency preparedness efforts
- Manage employee and visitor parking coordination
- Participate in office management meetings
- Assist with conference room scheduling and meeting setup
- Coordinate FedEx shipping and mailing
- Manage office event support survey requests
- Assign and manage security badges
- Ensure compliance with corporate policies
- Manage office supplies and vendor maintenance services
- Track and coordinate office events
- Process expense reports and invoices
- Provide coverage for Bethesda Office Manager and Human Resources
- Remain flexible for extended hours and special events
- Perform additional duties as assigned
