Job Requirements

  • At least one year of office reception or related experience
  • excellent interpersonal communication skills
  • ability to demonstrate poise and diplomacy with clients and brokers
  • adherence to company policies and procedures
  • responsible and accountable to actions
  • capacity to interact with individuals at all levels within the organization
  • authorized to work full-time in the United States and able to work onsite in Ontario, CA

Job Qualifications

  • Minimum one year of office reception experience or similar role
  • high interpersonal skills with ability to handle multiple situations tactfully and diplomatically
  • dedication demonstrated through respect, trust, honesty, integrity, and ethical behavior
  • proven ability to interact and communicate effectively with individuals at all organizational levels
  • familiarity with office software and invoicing systems such as Coupa
  • strong organizational and multitasking skills

Job Duties

  • Greet visitors at the front desk and manage reception duties
  • pick up and deliver daily mail, handle overnight mail and courier arrangements
  • prepare and send packages using cost-effective methods
  • monitor incoming calls and building access
  • handle office invoicing using Coupa
  • communicate with copier vendors and IT to ensure equipment functionality
  • manage mailing projects including list pulling, research, printing, and posting
  • assist others proactively across departments
  • manage conference room calendar and help with scheduling
  • maintain kitchen, conference room, and lobby cleanliness
  • monitor and submit office and kitchen supply orders
  • support event management and coordination with the Administration Manager
  • bind pitch and proposal packages
  • perform word processing for correspondence, agreements and reports
  • offer assistance to the office as time allows
