Job Requirements
- High school diploma or equivalent required
- Associate or Bachelor's degree preferred
- Ability to sit at a desk for extended periods
- Ability to occasionally lift up to 20 pounds
- Ability to multitask and prioritize work in a fast-paced environment
- Exceptional verbal and written communication skills
- Proficiency in Google Suite or Microsoft Office Suite
- Experience in a receptionist or administrative support role
- Knowledge of labor and employment laws is preferred
- Ability to handle sensitive information confidentially
Job Qualifications
- Minimum of 1-2 years of experience in receptionist customer service or administrative support role preferably in a law firm or professional services environment
- Some knowledge of labor and employment laws the California Labor Code and state-specific regulations
- Ability to multitask and prioritize work in a fast-paced environment
- Exceptional verbal and written communications skills
- Proficiency in Google Suite or Microsoft Office Suite Word Excel Outlook and familiarity with case management software e g Clio is a plus
- Strong organizational skills and attention to detail
- Ability to handle sensitive information with the highest level of confidentiality and professionalism
- Friendly and approachable personality with a client-focused mindset
- High level of integrity and discretion in handling confidential information
- Strong problem-solving skills
- Ability to work independently and collaboratively in a fast-paced environment
Job Duties
- Greet and assist clients visitors and vendors with professionalism and courtesy
- Answer screen and direct incoming calls promptly and accurately
- Manage scheduling of client meetings consultations and appointments
- Monitor reception area for tidiness and professionalism
- Oversee scheduling and preparation of conference rooms for meetings mediations depositions and client consultations
- Monitor and respond to general inquiries via email and phone directing them to appropriate departments
- Receive sort and distribute incoming mail prepare outgoing mail and courier packages
