Job Requirements

  • High school diploma or equivalent required
  • Associate or Bachelor's degree preferred
  • Ability to sit at a desk for extended periods
  • Ability to occasionally lift up to 20 pounds
  • Ability to multitask and prioritize work in a fast-paced environment
  • Exceptional verbal and written communication skills
  • Proficiency in Google Suite or Microsoft Office Suite
  • Experience in a receptionist or administrative support role
  • Knowledge of labor and employment laws is preferred
  • Ability to handle sensitive information confidentially

Job Qualifications

  • Minimum of 1-2 years of experience in receptionist customer service or administrative support role preferably in a law firm or professional services environment
  • Some knowledge of labor and employment laws the California Labor Code and state-specific regulations
  • Ability to multitask and prioritize work in a fast-paced environment
  • Exceptional verbal and written communications skills
  • Proficiency in Google Suite or Microsoft Office Suite Word Excel Outlook and familiarity with case management software e g Clio is a plus
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive information with the highest level of confidentiality and professionalism
  • Friendly and approachable personality with a client-focused mindset
  • High level of integrity and discretion in handling confidential information
  • Strong problem-solving skills
  • Ability to work independently and collaboratively in a fast-paced environment

Job Duties

  • Greet and assist clients visitors and vendors with professionalism and courtesy
  • Answer screen and direct incoming calls promptly and accurately
  • Manage scheduling of client meetings consultations and appointments
  • Monitor reception area for tidiness and professionalism
  • Oversee scheduling and preparation of conference rooms for meetings mediations depositions and client consultations
  • Monitor and respond to general inquiries via email and phone directing them to appropriate departments
  • Receive sort and distribute incoming mail prepare outgoing mail and courier packages
