Job Requirements

  • minimum of 3 years experience in auction, event, or administrative support
  • proficiency in Microsoft Office applications including Excel, Word, Outlook, PowerPoint, and Teams
  • demonstrated ability to perform all tasks in job description
  • proven self-motivation and problem solving skills
  • strong written and oral communication skills
  • interpersonal skills to work effectively with hospital staff, physicians, donors, volunteers, vendors, and the public

Job Qualifications

  • minimum of 3 years experience in auction, event, or administrative support
  • proficiency in Microsoft Office applications including Excel, Word, Outlook, PowerPoint, and Teams
  • strong problem solving and self-motivation skills
  • excellent written and oral communication skills
  • interpersonal skills to collaborate effectively with staff, donors, volunteers, vendors, and the public
  • preferred experience with Greater Giving platform
  • preferred graphic design skills using Canva, PDF Kofax, Publisher
  • preferred familiarity with social media platforms including YouTube, Facebook, and Instagram

Job Duties

  • supports the Gala committee with administrative functions such as data entry, auction item processing, tracking gift certificates and raffle tickets, report generation, website support, and post-event auditing and reconciliation
  • manages data including sponsorships, guest information, payment details, entrée choices, bidder numbers, and payments in collaboration with the office of development
  • processes and reconciles all financial transactions through the Greater Giving platform including ticket sales and board member donations
  • coordinates with vendors including photographers, videographers, auctioneers, emcees, audiovisual teams, and others by communicating timelines, signing contracts, and processing payments
  • acts as main point of contact on event day with volunteers and guests, coordinating food and beverage, program cues, registration troubleshooting and auction item communication
  • provides post event support including thank you letters, revenue reconciliation, receipt processing for cash and in-kind gifts, and supplies coordination
  • performs other duties as assigned
