Job Requirements

  • Four year college degree in business or technical field preferred or equivalent work experience
  • Minimum two years experience in corporate aviation
  • Part 135 a plus
  • Ability to identify and implement process improvement opportunities
  • Demonstrate judgment balancing customer and company needs
  • Provide leadership with coaching and feedback
  • Strong decision making skills
  • Excellent verbal, written, and presentation skills
  • Strong PC skills including Jet Insight, Teams, and Microsoft Office
  • Ability to learn new systems quickly
  • Ability to travel
  • Ability to work flexible hours including evenings, weekends, holidays, and overtime
  • Pass FAA drug and alcohol testing and background checks
  • Submit to random drug testing when required

Job Duties

  • Coordinate crew support team using Jet Insight Scheduling Software to update sales, owner, and airline teams on crew availability
  • Assist Chief Pilot and Assistant Chief Pilot in crew assignments, updating calendars, and training schedules
  • Coordinate with Maintenance to track aircraft inspections and manage communication for maintenance recovery events
  • Handle all logistics related to flights and crew including airline, hotel, and rental car arrangements
  • Review airport limitations and coordinate with Flight Operations and sales teams to ensure smooth airfield operations
  • Optimize fleet-wide activity to maximize crew duty and availability for owners and charter sales
  • Coordinate with EAS scheduling, communicate with Customer Service Agents, update passengers, send crew itineraries, and support EAS operations
  • Manage weather concerns communication among crewmembers, sales, dispatch, owners, and EAS
  • Obtain arrival slots, communicate with FBOs and airports to ensure smooth flight experience
  • Send trips and manage flight releases as per company policy
  • Arrange customs, file APIS
  • Negotiate, track, and manage current fuel discounts and programs
  • Maintain approved vendor list including FBOs, hotels, rental cars, and airline preferences
  • Coordinate aircraft schedules with FBO
  • Develop strong working relationships with Customer Service teams
  • Work non-standard hours and be accessible for on-call duty
  • Assist with other projects as needed
