Job Requirements

  • high school diploma or GED equivalency
  • current EMT certification
  • one year of dispatch experience preferred
  • certified flight communicator certification preferred
  • ability to work 12-hour shifts including nights
  • strong multitasking and communication skills
  • ability to handle stressful and emergency situations
  • proficiency in English
  • ability to learn various software related to flight tracking
  • ability to produce business correspondence
  • must pass background checks and meet Vanderbilt employment standards

Job Qualifications

  • high school diploma or GED equivalency
  • current EMT certification required
  • minimum one year of dispatch experience preferred
  • certified flight communicator certification preferred
  • international association of medical transport communication specialists certified flight communicator certification required within six months of hire
  • ability to function in a fast paced, service-oriented environment with minimal face-to-face interaction
  • strong understanding of medical terminology
  • excellent customer service skills
  • ability to handle high-pressure situations calmly and logically
  • effective communication skills in English
  • ability to multitask in a high stress environment

Job Duties

  • Notify the pilot and flight team when transport has been requested
  • flight follow with each aircraft and relay information to the flight team during helicopter and fixed wing transport
  • coordinate communications among flight team, hospital, scene and hangar
  • monitor cameras at air medical bases and helipads
  • monitor flight route, weather, ETE, maps, scene location
  • prioritize and disseminate accurate information such as wind advisories and triaging helipads
  • communicate by radio with flight crews to follow flight progress and position
  • document flight communications in dispatching software
  • notify all involved agencies to coordinate air transport
  • answer incoming telephone calls and radio communications
  • contact other flight services if aircraft is unavailable
  • coordinate when other flight services bring patients
  • learn several software programs related to mission and flight tracking
  • create business correspondence
  • maintain communication with crew members and aircraft
  • perform constant flight following procedures according to FAA and Vanderbilt LifeFlight policies
  • document medical information pertaining to patient condition and transport
  • coordinate medical transports with aviation, medical and communications departments
  • input flight transport information into network database
  • maintain FAA Part 135 knowledge and comply with policies
  • maintain relationships with facilities and pre-hospital agencies
  • provide customer service and handle emergency notifications
  • educate callers about air medical transport
  • assist with coding and billing follow-up
  • receive incoming requests for transfer center support
  • maintain statistical databases and reports
  • attend staff and continuing education meetings
  • perform other duties as assigned
