Job Duties
- Perform administrative duties including sending and receiving email
- Answer phones
- Copying, scanning, shipping, and mailing
- Maintain meeting rooms and office supplies
- Maintain sign-in sheets
- Maintain business unit scorecard tracking
- DOT driver recordkeeping
- EH&S recordkeeping
- Invoice processing
- Maintain project files
- Payroll and input of accounts into ORACLE
- Track vehicle inspections and insurance
- Update O&M book and print forecast reports from OMS software systems
- Coordinate audit tracking
- Organize and track alignment sheets
- Emergency information notifications
- Event Response Manual updates
- Hazardous materials shipping
- Local incident tracking
- Intermediate use of Maximo software system for record management
- Assist with creating and monitoring the area operating budget
- Assist Area Manager and personnel in operational support
- Requisition and track shipping and receiving materials and supplies
- Compliance tracking and auditing including OMS, Maximo, Veriforce, monthly inspections including mileage and fire extinguishers
- Develop project folders and status tracking
- Assist with Scope of Work Agreements and Veriforce OQ documentation
- Organize and maintain filing system
- Manage spare part inventory movements and routine audits
- Other tasks as necessary
