Job Requirements

  • Bachelor's degree or equivalent experience
  • prior experience in event management or production
  • must be based in the Bay Area during employment period
  • availability for night and weekend work
  • strong organizational and communication skills
  • ability to lift and move heavy equipment
  • ability to work under pressure and meet tight deadlines
  • proficiency with Microsoft Excel

  • possession of valid permits and licenses as needed

  • familiarity with permitting and licensing in the Bay Area a plus

Job Duties

  • Work closely with the Director of Operations on all pre-Festival planning, scheduling, and contracts for the external Festival Lounge, including securing any necessary licenses and permits
  • manage all venue and vendor relationships, including all rentals
  • create and execute the design of the Festival Lounge, working closely with Development and Communications teams to align with sponsor obligations and festival creative
  • plan and execute all programming at the Festival Lounge, coordinating with Programming team and Festival Special Events Manager
  • oversee day-to-day operations of the Festival Lounge including staff scheduling, guest hosting, hospitality maintenance, bar management, sponsor activations, and venue services
  • manage physical setup and breakdown including rental logistics
  • manage Festival Lounge Assistant Manager and volunteers while creating schedules
  • source vendors for entertainment, catering, and bar service as needed
  • work interdepartmentally to balance event needs among sponsors, filmmakers, guests, and board
  • incorporate spaces for Filmmaker Check-In, Press Check-In, press lines, and interview spaces into planning
  • coordinate with Tech and Operations Manager on AV equipment and staffing
  • collaborate with Director of Operations and Production Manager on load-in and load-out
  • project manage furniture, equipment, and supplies transportation to temporary venues with Production Manager
  • ensure accessibility prioritization and communication
  • draft and update Festival Lounge budget and track payments
  • provide clear event status updates and shareable materials to SFFILM staff
  • support Operations intern with procurement and customer service training
  • create a comprehensive wrap-report and timeline summary
