Job Description

The FBO Operations Executive role is a critical administrative and operational position that supports top leadership within the Fixed Base Operations division. Reporting directly to the EVP of FBO Operations, the successful candidate will manage complex calendars, coordinate meetings, travel logistics, and communications with internal and external stakeholders. This role requires handling sensitive information with discretion and professionalism. Job Requirements

  • High school diploma or equivalent
  • Minimum 3-5 years of administrative support experience
  • Exceptional organizational skills
  • Outstanding written and verbal communication skills
  • Strong business acumen and financial literacy
  • Proficiency in Microsoft Office Suite
  • Experience with CRM systems
  • Must pass background checks and pre-employment screening
  • Valid driver’s license
  • Willingness to travel up to 25%

Job Duties

  • Manage complex calendars and coordinate high-priority meetings
  • Arrange travel logistics for FBO leadership
  • Serve as primary contact for internal and external stakeholders
  • Draft, proofread, and edit leadership correspondence and reports
  • Handle sensitive and confidential information with discretion
  • Prepare meeting agendas and capture minutes
  • Track key decisions and action items
  • Monitor leadership deliverables for strategic initiatives
  • Drive alignment across departments by tracking project deadlines and deliverables
  • Act as liaison between leadership and internal teams
  • Maintain tracking systems for key initiatives
  • Coordinate multi-departmental projects
  • Update leadership on project status and next steps
  • Assist in FBO expansion initiatives and special projects
  • Support contract management and vendor negotiations
  • Develop and maintain databases of performance metrics and reports
  • Conduct pricing analysis and prepare financial models
  • Coordinate department meetings and training sessions
  • Maintain knowledge of FAA regulations and industry trends
  • Provide administrative support to FBO managers
  • Facilitate sharing of best practices and operational updates
  • Coordinate with vendors and fuel providers
  • Support client relations and marketing efforts
  • Take on special projects as assigned
