Job Requirements

  • Associate's degree or completion of sixty college-level semester units and two years experience in events/hospitality industry
  • or four years experience in events/hospitality industry without the degree
  • Sensitivity and ability to work with diverse populations
  • Ability to plan, coordinate, and facilitate events
  • Excellent communication skills
  • Ability to operate office equipment and computers
  • Ability to organize and prioritize tasks
  • Ability to work full-time, Monday through Friday, 8 a.m. to 5 p.m.
  • Ability to lift, carry, push, and pull up to 25 pounds
  • Ability to function in office and outdoor environments
  • Valid and complete application with documentation
  • Successful completion of selection process including interview and possible presentation and writing prompt

Job Qualifications

  • An associate's degree or completion of at least sixty college-level semester units, plus two years of experience in the events or hospitality industry
  • or four years of experience in the events or hospitality industry without the degree
  • Demonstrated sensitivity and ability to work with diverse academic, socioeconomic, ethnic, religious, disability, gender, gender identity, sexual orientation, immigrant status, and cultural backgrounds
  • Strong knowledge of event planning, scheduling, and coordination principles
  • Knowledge of regulations, policies, educational codes, and laws related to public assembly
  • Excellent communication skills including proper language usage, grammar, and composition
  • Ability to organize and prioritize work
  • Proficiency in personal computer software including word processing, spreadsheet, and presentation graphics
  • Working knowledge of contract administration and budgetary principles
  • Strong human relations skills to resolve conflicts and maintain positive relations
  • Ability to work cooperatively with individuals and teams
  • Ability to represent the college in interactions with governmental agencies, community groups, and organizations
  • Ability to deliver customer service by telephone, email, and in person
  • Ability to perform event support operations including technical setup and equipment handling

Job Duties

  • Plans, schedules, coordinates, and facilitates rental, community, or campus events
  • functions as the point of contact for event stakeholders
  • obtains event requirements
  • Consults with external parties regarding facility use requests
  • provides tours and layouts
  • assesses facility, equipment, staffing, costs, and contractual obligations according to Civic Center Act
  • Maintains college materials related to rentals and events
  • Implements and maintains operational and safety policies, procedures, and emergency plans for events
  • Coordinates work and training of event staff and contractors
  • reviews employee timekeeping
  • Coordinates rental logistics and event support with departments and vendors
  • arranges planning meetings
  • communicates changes
  • Coordinates special equipment needs such as sound, lighting, and projection equipment for events
  • Coordinates maintenance and repair of facilities and equipment
  • prepares recommendations and orders for replacements
  • Prepares, verifies, and oversees event contracts, insurance, permits, licenses, invoices, and paperwork
  • Provides information on availability, costs, terms, rental rates, and payments
  • Develops, maintains, and analyzes event budgets
  • prepares annual preliminary budgets
  • monitors expenditures
  • performs cost reconciliations
  • Updates and maintains the Campus Events calendar
  • organizes event files and records
  • Provides guidance regarding event activities, facility use, and policies
  • Resolves problems or complaints related to facility use

  • Collaborates with coworkers, contractors, volunteers, meeting planners, and associations
  • Promotes college facilities for rentals
  • Supports district policies and participates in committees and special assignments
