Job Requirements

  • High school diploma or equivalent
  • five or more years in contracting, budgeting, administrative or related field preferred
  • ability to work long and variable hours
  • ability to report to work during severe inclement weather
  • valid driver's license

Job Qualifications

  • High school diploma or equivalent
  • associate's degree preferred
  • five or more years in contracting, budgeting, administrative or related field preferred
  • intermediate skills in writing including composition and grammar
  • intermediate skills in accounts payable and accounts receivable
  • intermediate knowledge of corporate budgeting processes and reports
  • intermediate computer skills with relevant department systems
  • intermediate knowledge of contracting policies, processes and procedures
  • intermediate knowledge of clerical and administrative procedures and techniques
  • intermediate decision-making skills
  • intermediate diplomacy skills
  • intermediate organization and prioritization skills

Job Duties

  • Track and ensure timely renewal of term purchase orders
  • anticipate, identify and report contract issues and conflicts
  • resolve invoicing problems and verify contract terms
  • prepare purchase requisitions and ensure accurate and timely processing of accounts payable invoices
  • coordinate with sourcing and contracts staff to ensure compliance with corporate policies
  • administer service contracts for managers
  • coordinate with accounts payable to resolve invoicing issues
  • coordinate with vendors to ensure on-time delivery of materials and services
  • purchase supplies, services and equipment using purchasing cards and informal acquisition procedures
  • reconcile purchasing card statements
  • support purchasing card reimbursement for operations
  • provide backup to managers as needed
  • coordinate work order tracking and reports
  • coordinate inspections and work with vendors
  • assist in department and vendor badge access requests and CIP training
  • pick up and distribute mail
  • maintain supplies of office and consumable items
  • perform facility walk downs and periodic inspections of offices and equipment
  • submit work orders for facility or equipment repairs
  • support prioritization and escalation of facility and equipment repairs
  • initiate facility repair requests and provide vendor access
  • support administrative activities of various operations/facility programs
  • utilize program tools and standards for efficient operation and communication
  • support logistics during storm events for line crews
  • own and improve work processes
  • monitor processes and troubleshoot and resolve issues
