Job Requirements
- associate's degree or equivalent work experience
- 1-2 years of experience in administrative operations customer service or community-facing roles
- experience managing databases preferred
- excellent written and verbal communication skills
- strong relationship management skills maintaining professionalism and effectiveness in complex or high-pressure situations
- must be able to work some evenings and weekends
- adept at spreadsheets and tracking expenses
- experience with Gmail Google Docs Asana Slack Eventbrite
- bachelor's degree preferred
- 2-3 years of administrative operations or community-facing experience preferred
- 1-2 years of project management experience including coordinating schedules managing timelines and overseeing task delegation preferred
- must be able to lift and carry up to 25lbs
- ability to talk hear operate equipment read and use a keyboard
- ability to sit or stand and work with a computer for extended periods

Job Duties
- serve as the primary point of contact for entrepreneurs, partners, and visitors delivering a consistently professional welcoming and service-oriented experience
- conduct onboarding orientations including presentations and walkthroughs on building, workspace norms, technology, safety, and access protocols
- facilitate connections respond to inquiries and support entrepreneur engagement
- collect document and submit entrepreneur feedback
- represent Build in Tulsa in alignment with organizational values and brand standards
- oversee daily coworking operations ensuring cleanliness organization functionality and readiness
- maintain accurate coworking data and deliver quarterly reports on space utilization
- conduct daily walkthroughs to reset rooms restock supplies test equipment and prepare spaces
- serve as primary technology point of contact maintaining expertise in audiovisual equipment Wi-Fi printers and shared technology tools
- provide real-time technical support resolving issues or escalating as needed
- audit and maintain technology equipment
- coordinate with vendors and service providers to address maintenance and ensure timely resolution
- track and follow up on maintenance requests to completion
- manage inventory for office supplies snacks beverages and amenities
- maintain a clean safe and operational coworking environment
- support planning and execution of building activations events and programming ensuring logistical readiness and smooth delivery
- track building activation and space rental requests providing accurate status and documentation
- support post-event follow-up and feedback collection
- manage coworking inquiries reservations and space requests
- receive log and distribute deliveries accurately and timely
- track expenses receipts and budget documentation
- collaborate across teams to support organizational priorities and daily operations
