Job Requirements

  • Bachelor's degree or equivalent experience
  • 5+ years of experience in event management or related field
  • proven experience in hospitality or production management
  • strong organizational and multitasking skills
  • excellent communication and interpersonal abilities
  • proficiency with Microsoft Office, especially Excel
  • ability to travel domestically and work flexible hours including weekends and holidays
  • ability to manage budgets and financial records
  • proactive problem-solving skills
  • willingness to work in a hybrid office environment or remotely as needed
  • flexibility to travel up to 45% domestically
  • availability to work weekends and holidays
  • valid work authorization

Job Qualifications

  • 5+ years of experience in related events field
  • past hospitality and production management experience preferred
  • passionate about sports, entertainment, gaming, music, and/or celebrity and lifestyle culture
  • extraordinarily well-organized and efficient
  • excellent interpersonal skills, both written and oral
  • ability to prioritize multiple projects simultaneously
  • ability to form effective links with clients
  • flexible and adaptable in working with various personalities
  • ability to think forward and solve problems proactively
  • demonstrated initiative and acceptance of new challenges
  • knowledgeable in Microsoft Office suite, particularly Excel, PowerPoint, and Word
  • experience handling budgets and financial reconciliation
  • a second language is a plus
  • enthusiasm for travel and flexibility to work weekends or holidays

Job Duties

  • Project manage multiple hospitality and production-focused programs simultaneously
  • design, develop and present strategic program recommendations and program execution guides
  • research and implement tactical plans, handling client and vendor relationships
  • develop guidelines and best practices documents for internal and client distribution
  • manage internal and client communications to ensure successful planning, event management and execution
  • lead weekly status calls and other key meetings with internal and external constituents
  • ensure production timelines, run-of-show documents, and staffing plans are followed
  • maintain a high standard of quality control across all experiential elements
  • provide exemplary service onsite for clients and guests at all program events
  • may supervise staff and/or brand ambassadors in implementation of programs
  • assist with sourcing, contracting, managing, and collaborating with vendors and production partners
  • handle logistics including decor, lodging, transportation, food and beverage, production services, and celebrity appearances
  • review and distribute event status meeting notes, execution guides, and staff implementation guides
  • compile event results reporting and wrap-up report development
  • manage financial records including budget creation, client invoicing, budget forecasting, reconciliation, and personal travel expenses
  • general account management and assistance with client requests
  • work weekends and holidays as needed
