Job Requirements

  • Previous event coordination or related experience
  • Ability to maintain proper attendance
  • Capable of working flexible hours including weekends

Job Duties

  • Preparing and executing special events, weekly activities, classes and programs
  • Engaging with guests to promote and sell additional activities in tandem with the Concierge team
  • Maintain cooperative relationships and open communication with leaders of other departments to ensure successful execution of programming
  • Help manage and finalize SOPs for all existing and new experiences including trial setups and photo documentation
  • Help manage and finalize BEOs for all existing and new experiences and coordinate with the correct teams
  • Coordinate OS&E purchases and keep inventory of all experience-related items
  • Manage and submit invoices for all third party vendors and partners
  • Communicate with experience vendors and hosts for smooth daily operations and feedback
  • Organize and maintain activity storage areas and equipment
  • Help execute creative design and touchpoint projects under the direction of the Director of Experiences
  • Coordinate design and printing of collateral such as schedules, calendars and signage
  • Work with marketing team to fact-check website to ensure experiences are up to date
  • Low level marketing including posting experiences to local calendars and sending email campaigns
  • Set up and host experiences on property as needed
  • Gather and organize metrics on experiences and programming including bookings, guest feedback and revenue
  • Communicate with team members on upcoming experiences or events daily
  • Manage internal programming calendar and spreadsheets used by Experiences and Marketing departments
