Job Requirements

  • Equivalent to a bachelor's degree in a related field
  • four years of related experience
  • at least five years of administrative support experience preferred
  • ability to manage complex calendars
  • ability to balance competing priorities
  • ability to maintain discretion with confidential information
  • excellent communication skills, verbal and written
  • proficiency in Microsoft Office Suite
  • proficiency in calendar management systems
  • proficiency in virtual meeting platforms
  • strong project management skills

Job Duties

  • Act as a strategic liaison between the VP, senior leadership, URD teams, and external stakeholders
  • manage the success and coordinate high-level meetings, travel, and events for the VP and AVPs
  • coordinate donor and prospect engagement, including outreach, scheduling, and presentation materials
  • co-manage donor relations for the Long Beach State Foundation Board, leading high-impact projects and strategic initiatives
  • ensure smooth administrative operations in partnership with the Division Administrative Coordinator, including office coverage, reception, and guest relations
