Job Requirements

  • 7+ years in an executive assistant role supporting C-suite leadership within a global organization, ideally a CEO
  • Proven track record of working independently with little to no supervision while managing numerous interruptions and unforeseen events
  • Superior oral and written communication skills
  • Ability to concurrently manage various deadline-driven tasks from multiple sources with extreme attention to detail
  • Outstanding interpersonal skills with the ability to interface courteously with diverse cultures
  • Experience maintaining confidentiality and discretion with sensitive information
  • Proficiency in Microsoft Office Suite including Outlook, SharePoint, Concur, Excel, and Zoom
  • Ability to work onsite in Carlsbad, CA Monday to Friday

Job Qualifications

  • Minimum of 7 years experience as an Executive Assistant supporting C-suite leadership, preferably a CEO
  • Proven ability to work independently and manage multiple interruptions effectively
  • Exceptional oral and written communication skills
  • Mastery in organizing and prioritizing deadline-driven tasks
  • Strong interpersonal skills with a global mindset
  • Demonstrated discretion in handling confidential information
  • Proficiency in Microsoft Office Suite including Outlook, SharePoint, Concur, Excel, and Zoom
  • Willingness to work onsite at Carlsbad, CA headquarters Monday through Friday

Job Duties

  • Quickly absorb and act on executive information in fast-paced scenarios
  • Adjust working hours flexibly to support global time zones
  • Manage the CEO's complex and dynamic calendar proactively
  • Plan and coordinate detailed domestic and international travel logistics including visa and security clearances
  • Set up and manage web-based meetings and virtual teleconferences across multiple time zones
  • Assist in planning and executing on- and offsite business events and executive engagements
  • Serve as liaison for internal and external contacts representing the executive office professionally
  • Process expense reports and manage purchasing card accounts
  • Support a collaborative culture among Executive Assistants
  • Provide basic IT setup and troubleshooting support
