Job Requirements
- Two years minimum experience as an administrative or executive assistant, secretary, or other higher level administrative/office support role
- Two years of related business or administrative experience
- Ability to manage multiple tasks and prioritize effectively
- Strong verbal and written communication skills
- Proficiency in office software and administrative tools
- Ability to handle confidential information with discretion
- Excellent organizational and time management skills
Job Qualifications
- Two years of experience as an administrative or executive assistant, secretary, or higher level administrative support role
- Experience in related business or administrative fields
- Basic knowledge of accounting, legal, and contract administration
- Familiarity with AH/AHS Sunport system
- Associates degree in secretarial science or business preferred
- Event planning or coordination experience preferred
- Certified Administrative Professional (CAP) certification preferred
Job Duties
- Manage calendar for leaders, scheduling meetings and appointments, and coordinating travel arrangements including lodging, air/land, transportation, event registration
- Answer and screen incoming calls, take messages and route calls appropriately
- Greet and assist visitors, professionally represent leaders and AdventHealth in all communications and meetings
- Provide administrative support including managing incoming/outgoing mail, composing and editing correspondence, preparing expense reports, orders, presentations, spreadsheets, and maintaining files
- Schedule and organize meetings and events, including preparing agendas, taking and transcribing meeting minutes, ordering provisions
- Assist with budget tracking, contracts as needed
- Serve as committee member or lead/supervise administrative teams
- Maintain division/department policies, contracts
- Support leaders with research, projects, and miscellaneous duties
