Job Requirements

  • Working-level knowledge of English language including reading, writing, and speaking English
  • Completion of classes related to business skills, management, or computers
  • Business college education preferred
  • At least five years of responsible administrative secretarial and computer experience
  • Experience in hospital settings preferred
  • Proficiency with Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word
  • Ability to type and use word processing equipment and modern office machines efficiently

Job Duties

  • Schedule and manage meetings, appointments, and travel arrangements
  • Prioritize and coordinate calendar events to optimize the executive's time
  • Screen and manage phone calls, emails, and other correspondence
  • Draft and edit correspondence, reports, and presentations
  • Serve as a liaison between the executive and internal/external stakeholders
  • Prepare and process documents, reports, and presentations
  • Maintain and organize files, records, and documentation
  • Assist in project management and follow-up on action items
  • Arrange travel itineraries including flights, accommodations, and transportation for executives, staff and board members
  • Prepare travel expense reports and ensure timely reimbursement
  • Organize and coordinate meetings, conferences, and special events
  • Prepare meeting agendas, take minutes, and ensure follow-up on action items
  • Handle sensitive and confidential information with discretion and integrity
  • Maintain confidentiality regarding all executive matters and company affairs
  • Oversee office supplies and equipment, reorder as necessary
  • Ensure a well-organized and efficient office environment
