Job Requirements

  • Previous experience providing administrative support to an executive
  • Ability to represent company and executives professionally
  • Track record of problem-solving and anticipating conflicts
  • Ability to handle time-sensitive tasks efficiently
  • Experience prioritizing executive goals
  • Capability to manage personal and sensitive information confidentially

Job Qualifications

  • Maintain confidentiality of business conversations, correspondence, and records
  • Act as liaison between executive, internal staff, managers, and external partners
  • Research, draft, and route correspondence and emails
  • Sort, scan, and route incoming and outgoing mail
  • Schedule, plan, and coordinate business and personal trips
  • Work with flight department on trip logistics
  • Manage travel arrangements including hotel and transportation
  • Create and maintain trip itineraries
  • Maintain confidential records and bookkeeping
  • Obtain approval and execute invoice payments
  • Liaise with hotel for meeting space and accommodations
  • Act as primary contact for meetings and events
  • Assist with personal appointments, reservations, errands, and trips
  • Maintain updated contacts and account information
  • Use discretion in handling personal matters
