Job Requirements

  • Bachelor’s degree or equivalent experience
  • One year of progressive responsible administrative or secretarial experience for management or three years of progressively responsible administrative experience or support
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat
  • Ability to handle confidential matters with discretion
  • Strong interpersonal and communication skills
  • Excellent organizational and problem-solving abilities
  • Commitment to customer service and inclusive excellence
  • Ability to work with diverse individuals at all levels
  • Must comply with University of Toledo’s tobacco-free policy including nicotine-free requirement for Health Science Campus Medical Center employment
  • Successful completion of cotinine (nicotine) test and other required health screenings for the position

Job Qualifications

  • Bachelor’s degree or equivalent experience
  • Minimum one year of progressive responsible administrative or secretarial experience for management or three years of progressively responsible administrative experience or support
  • Proficient in Microsoft Office applications including Word, Excel, Outlook, PowerPoint, and Teams
  • Skilled in Adobe Acrobat
  • Ability to download and perform basic analysis of data from university databases
  • Strong interpersonal, written and verbal communication skills
  • Excellent organizational and problem-solving skills
  • Commitment to customer service and inclusive excellence
  • Ability to work with diverse groups at all organizational levels

Job Duties

  • Maintain leader’s day-to-day schedule and long-term calendar
  • Prepare and gather meeting and briefing materials from various departments
  • Initiate and respond to correspondence on behalf of the executive
  • Complete or track progress on action items arising from workflow
  • Manage all logistics for travel
  • Direct routine office operations
  • Serve as an ambassador on behalf of the office
  • Provide analytical support and project coordination
  • Supervise support staff
  • Handle highly sensitive and confidential information with discretion
  • Develop professional relationships with senior university administrators
  • Anticipate and troubleshoot routine and unique matters
