Job Requirements

  • Minimum of 5 years of professional experience supporting C-suite executives
  • Experience managing calendar and complex scheduling for senior leadership
  • Proven ability to handle sensitive and confidential information with discretion
  • Strong research and analytical skills
  • Excellent communication and interpersonal skills
  • Technological proficiency with Google Workspace and Microsoft Office
  • Availability to work a flexible schedule including occasional off-hours
  • Valid Driver's License

Job Qualifications

  • Bachelor's degree in a related field preferred or equivalent professional experience
  • Minimum of 5 years providing high-level administrative support to C-suite executives
  • Proven experience supporting Board of Directors activities, including complex minute-taking and logistics
  • Exceptional organizational skills and high attention to detail
  • Superb written and verbal communication skills
  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with CRM systems like Altru is a plus
  • Ability to exercise good judgment and maintain utmost discretion and confidentiality
  • Valid Driver's License

Job Duties

  • Manage the CEO's time and resources and oversee the Executive Team calendar, resolving conflicts and handling highly sensitive information
  • Prepare the CEO and Executive Team for all engagements by conducting research, compiling analysis, and developing accurate presentation materials (slide decks, reports) for high-level audiences
  • Manage executive travel, expense reports, and provide all necessary high-level administrative support for the Office of the President & CEO
  • Serve as a central coordinator for all Board inquiries and logistics in partnership with the Chief of Staff
  • Draft official Board and Committee minutes that accurately summarize organizational decisions
  • Implement and manage Board information within CRM systems (Altru, Monday.com, etc.), ensuring meticulous tracking of governance records, term limits, and compliance
  • Partner with the Development team to provide white-glove service to Board members, including admissions and reservations
  • Conduct comprehensive research projects on governance, best practices, or industry trends and synthesize findings for Executive Team review and implementation
  • Manage institutional calendaring, trademark documentation, renewals, and external memberships (APGA, AMA)
