Job Requirements
- Bachelor’s degree or minimum 3 years administrative assistance supporting an executive and department team
- NC Notary Public or willingness to obtain at company expense
- Strong organizational skills
- Excellent communication skills
- Ability to multitask
- Ability to be entrusted with confidential information
- Ability to work independently
- Proficient in MS Outlook, Word, Excel, Adobe Acrobat and other computer programs as necessary
Job Qualifications

- Operate office equipment such as copiers, personal computers, fax machines
- Prior commercial real estate experience preferred

Job Duties
- Act as the point of contact between the executive and internal and external clients
- Answer calls for the executive and division, take and distribute messages to appropriate personnel, respond to inquiries from clients, vendors and personnel within scope of expertise
- In the executives' absence, if unable to assist directly, route problems and or questions to the appropriate person, follow up and report
- Professionally interact with executives and key managers with companies engaged in business with the organization such as clients, suppliers, and partners
- Assist in coordinating meeting logistics including room set-up, arrange refreshments or meals, and room tear-down
- Manage an active calendar of appointments, complete expense reports, and arrange complex travel arrangements domestic and international
- Produce brochures, proposals, handouts, letters and presentations
- Update listings and create email blasts for distribution
- Assist with groundbreaking ceremonies including ordering signage for projects
- Obtain executives’ and business partners’ signatures on project documents
- Maintain an efficient documentation and filing system including electronic and physical files
- Sort and distribute incoming and outgoing mail
- Prepare FedEx packages and track deliveries
- Research, collect information and report findings on special projects as requested
- Record meeting minutes
- Perform administrative duties for other company areas as needed
- Assist with receptionist duties
- Other duties as assigned
