Job Requirements
- Bachelor's degree in related area or equivalency with one year of education substituting for two years of work experience
- At least 3 years of increasingly responsible experience in event coordination
- Demonstrated leadership abilities
- Effective communication and human relations skills
- Ability to perform job functions as outlined
- Strong organizational skills
- Experience working with event scheduling and social functions
- Ability to work under high stress and maintain professionalism
- Familiarity with travel arrangement systems a plus
Job Qualifications
- Bachelor's degree in a related field such as Business, Communications, Hotel/Hospitality Management, Sports Management or Public Relations
- Minimum three years of progressively responsible event coordination experience
- Demonstrated leadership skills in planning and supervising employees and processes
- Strong human relations and effective communication skills
- Experience using project management software
- High level of customer service and attention to detail
- Ability to anticipate problems and plan accordingly
- Professionalism and ability to problem solve under stress
- Creative thinking, growth mindset, and adaptability
- Familiarity with Concur travel system and University of Utah systems preferred
Job Duties
- Oversees and coordinates all departmental events including visiting faculty, seminars, and retreats
- Arranges travel, negotiates pricing with hotels, caterers, and other vendors
- Builds and maintains relationships with vendors, clients, and stakeholders
- Designs and produces marketing materials such as flyers, brochures, posters, and banners
- Manages catering setup, delivery, and cleanup including arranging tables and chairs
- Acts as primary contact for all questions concerning department events
- Develops and processes contracts and coordinates travel arrangements
- Manages event budgets, tracks expenses, coordinates with departments and vendors
- Prepares reports on events and identifies areas for future improvement
- Assists in preparing annual event budgets and monitors special event finances
- Arranges travel, accommodations, and schedules for guest speakers including meetings and social activities
- Coordinates honorarium and reimbursement paperwork for guests
- Manages faculty recruiting calendar, coordinates candidate visits including flights and accommodations
- Maintains intranet team pages for candidate interviews and visit schedules
- Advertises candidate visits and gathers feedback
- Partners with University Advancement on fundraising campaigns and donor engagement plans
- Supports philanthropic efforts and coordinates donor recognition in communications and events
