- Willingness to work some evening and weekend hours as required by event schedules

- Familiarity with Microsoft Office and basic file management is preferred

- Basic understanding of expense tracking and financial record keeping is a plus
Job Duties
- Assist with event setup and teardown including tables, chairs, signage, and audio/visual equipment in the AgriLife Center and The Gardens Pavilion
- Provide on-site event support such as greeting guests, staffing check-in tables, directing attendees, and monitoring audio/visual needs
- Coordinate logistics with vendors, AgriLife Events Team, and event personnel
- Prepare and organize event materials including nametags, programs, signage, and giveaways
- Utilize AgriLife Events event documentation to complete pre- and post-event tasks
- Use and maintain detailed file systems for event planning and records
- Track and reconcile event-related transactions including purchasing and invoicing
- Maintain supply closets and storage areas cleanliness, organization, and inventory
- Perform general administrative and clerical support for the AgriLife Events team
- Attend team meetings and contribute to planning and post-event debriefs
- Learn to use the invoicing software to create and distribute client invoices
- Perform other duties as assigned
