Job Duties
- Ensure smooth-running and effective events using tact, sensitivity, discretion, and political acumen
- Schedule and organize departmental-sponsored events
- Partner with department staff and faculty for mid-to-large scale events including budget and scope definition
- Manage smaller-scale productions such as colloquia, seminars, meetings, social events, and dinners
- Initiate annual event planning for major regular events including Fall Welcome and Commencement
- Provide year-end summary and analysis with future planning suggestions
- Define event goals and manage logistics including room rental, A/V equipment, catering, publicity, staffing, and parking
- Collaborate with communications staff to schedule events on master calendar and minimize conflicts
- Work with vendors to ensure timely delivery of goods and services
- Serve as primary contact with Faculty Clubs or off-campus facilities for lodging and events
- Secure necessary campus approvals such as alcohol permits and noise authorization
- Solicit feedback post-events and produce summary notes
- Oversee sponsored event support requests ensuring budget compliance
- Manage vendors including caterers, photographers, audio visual technicians, valets, security, custodians
- Serve as resource and trainer for department event coordinators
- Lead training and provide resources to staff and faculty coordinating events
- Recruit, train, and oversee student Event Assistants
- Develop web-based tools to streamline event management and budget tracking
- Partner with cluster leadership to focus on fundraising, donor engagement, and departmental needs
- Build and maintain donor relationships through communications and acknowledgements
- Coordinate with staff to develop social media and email strategies for donor communications
- Plan and strategize annual events to extend department community and donor relations
- Research, negotiate, and recommend vendors and venue options
- Manage honoraria, travel reimbursements, entertainment expenses
- Prepare payment requests and track financial compliance
- Schedule use of departmental and common spaces including backup support for room requests
- Create and distribute flyers and newsletters for cluster events
- Maintain department event inventory focusing on economical and environmentally friendly options
- Serve as emergency backup for front office support and facilities access
- Participate in employee development programs to maintain necessary skills
