Job Requirements
- Minimum 1 year of working knowledge of event planning concepts, principles, and practices
- Minimum 1 year of experience in nonprofit, educational, or corporate event settings
- Demonstrated strong organizational skills
- Excellent interpersonal communication and political acumen
- Ability to make effective decisions and solve problems
- Proven ability to work in diverse groups
- Ability to perform under pressure and meet deadlines
- Working knowledge of Macintosh platform and Microsoft Word
- Working knowledge of Zoom.us
- Experience dealing with VIPs
- Bachelor's degree or equivalent experience/training

- Minimum 1 year of event planning and production knowledge
- Experience with nonprofit, educational, or corporate organizations
- Strong organizational and multitasking skills
- Good interpersonal and communication skills
- Excellent judgment and problem-solving abilities
- Ability to work with diverse groups including students, staff, faculty, donors, and artists
- Ability to work professionally under pressure and meet tight deadlines
- Proficient with Macintosh and Microsoft Word
- Experienced with Zoom
- Familiarity with VIP protocols
- Preferred knowledge of Adobe InDesign
- Preferred knowledge of Salesforce Marketing
- Familiarity with campus policies and procedures
Job Duties
- Plan, organize, and implement small events or portions of larger events such as symposiums, conferences, program events, banquets, and VIP briefings
- Coordinate event details with campus academic and service units including Campus-wide Memorial, New Student Convocation, Big Give, and Homecoming volunteers
- Create, maintain, and distribute schedules such as the Commencement schedule
- Assist with protocol and university ceremonies including regalia and Ph.D. ceremonies
- Organize event reservations and ticketing systems
- Participate in planning and staffing larger or complex events, managing segments such as parking, transportation, or catering
- Maintain databases, process nominations, and assist with university awards
- Manage budgets for event income and expenses
- Handle procurement activities including vendor identification, proposal requests, and purchase disbursements
- Serve as staff host at events, greet guests, and troubleshoot onsite
- Track financial records for commencements
- Scout potential event locations, speakers, and vendors
- Manage vendoring process ensuring alignment with procurement policies
- Oversee operational support staff including recruiting, training, and assigning tasks to students and volunteers
- Manage volunteer activities at Homecoming, Commencement, and December Graduation events
